Initial data collection

Collect data on how much time individuals are spending at each of the two Job Planning categories of Clinical Care (CC) and Supporting Professional Activity (SPA). This will help you to understand more about how your service capacity is currently being used.

At least one month’s data should be collected to inform your next steps, and this should be done with as many members of your service or team as possible. Initially it is suggested that high level data on the two categories of CC and SPA are collected—more detailed data could be collected in future for specific, identified needs.

Individuals can do this using the Monthly Planner to identify activity carried out in your service.

You can also use paper or electronic diaries to collect time spent, as long as there is consistency between team members. However, please note that some pre-existing data systems are not appropriate for data gathering for Job Planning (for example, appointment rostering) as these often do not provide actual capacity required for an activity. These systems only provide predicted capacity for some aspects of the activity only for example only the appointment time, not any follow up time required for notes, paperwork or follow-up work.

Teams or services can then collate this data to provide a summary of activity done. You can do this using the Service Data Collection spreadsheet. As a service you will need to identify who will collate this data for subsequent data collection periods.


Future Data Collection

Continuing to collect data either in an ongoing manner, or for a period of time each year, can be beneficial to support reflection and alignment for an individuals Job Plan percentages. It can also be used to gather information about specific service activity, and used to inform service development, for example through the Skills Maximisation Toolkit process (AHP Skills Maximisation Toolkit | Turas | Learn). This data can be collected using the same method as for your initial data collection.
