Step 5: Agree percentages

Review the data collected in your Service Data Collection and agree initial percentages for each role or, if useful, each Band. This should be done through collaborative discussion with individuals, with a Job Plan percentage being set through collaborative agreement about the individuals role, learning needs and contribution to the wider service.

When agreeing Job Plan percentages, it can be helpful to remember that this should relate to an individuals role and the activity they do, rather than any recommended percentages.  Roles, Bands and services may vary depending on individual need, service need, population, and geography and an individuals Job Plan should reflect that.

You may wish to compare the minimum SPA sessions required calculated in Step 4: Identify Minimum SPA with the available SPA slots for each individual as shown by your Service Capacity Calculator and adjust individual Job Plans accordingly.

Activities you may wish to consider when agreeing an individual’s Job Plan percentages include:

  • Whether the individual is a Newly Qualified Practitioner (NQP), or is supporting an NQP.
  • How many individuals they support through Supervision.
  • How many individuals they line manage.
  • Any activities specific to their role, such as Facilities duties, moving and handling trainer requirements, or Board specific roles.
  • Whether the individual is part time. Part time staff may require a higher SPA percentage to allocate them enough time to all required SPA activities.

If mutual agreement about an individuals Job Plan cannot be reached, you may wish to consider the Personal Development Planning and Performance Review Policy or the Grievance Policy for support.

Once Job Plan percentages have been agreed, you can enter this into the Service Capacity Calculator. This will then show you the total annual sessions which would be given per individual to the categories of Clinical Care and Supporting Professional Activity (SPA).
