This section aims to provide an overview of job planning electronic systems (e-systems).

NHS settings use a variety of e-systems. The NHS Scotland national system for eRostering is Allocate Optima (previously called HealthRoster). Each NHS board is responsible for onboarding to Optima. A suite of modules interface with Optima. These include Allocate SafeCare and Red Flags (e.g. record and support real-time staffing oversight, staff leave etc.), Allocate Activity Manager (e.g. identify, manage and analyse time blocks of activity), Allocate Job plan (e.g. record job plan agreements). Some terminology can vary for Allocate e-Systems. The illustration below provides alternative names used. As yet, these systems do not interface with other national Human Resources workforce systems such as eESS or SSTS.

Job planning e-systems aim to provide you with clear, consistent, and efficient ways to record, review, and manage job plans. E-systems bring key information into one platform. This aims to reduce administrative burden, enable transparency, enable analyses and support quality improvements.

Some NHS Scotland AHP services are testing use of Allocate job planning e-systems. Testing has included AHP use of Job Plan and Activity Manager. E-systems bring key information into one platform for clear, consistent, efficient records. Testing supports AHPs’ understanding of purpose, terminology, linkages and potential for job planning e-systems.
